Volunteers at Kent Nerd Party 2025

Join our Promotions Committee, gain valuable experience, and make an impact on KDP events! This is a great opportunity to join a community of volunteers who create opportunities for connection and joy in our historic downtown.

Committee members should expect to spend an hour or less a month in meetings with KDP staff and volunteers, and to be present at both our annual flagship events, Cajun & Creole Fest (August 16th, 2025) and the Kent Nerd Party (June 6th, 2026).

Some positions may require a small, extra time commitment (1-4 hrs/week) prior to our flagship events.

Committee members may also join us for smaller events that occur throughout the year, including our alcohol tasting events, Street of Treats (a Halloween trick-or-treat event), and volunteer mixers.

Accessibility Lead

Do you have lived experience navigating events with a disability? We’d love your input on how to make our events accessible to all.

Responsibilities (~1 hour a month, 7-8 hour day at flagship events):

  • Regularly meet with event planning staff/committee to discuss accessibility at our events
  • Supervise setup of accessibility features
  • Flag accessibility issues as they arise

 

Beer Garden Lead (FILLED)

Responsibilities (~1 hour a month, 6-8 hour days at flagship events):

  • Meet with event planning staff/committee to discuss plans for upcoming events and recap/discuss recommendations based on past events
  • Oversee beer garden operations
    • Handle vendor coordination
    • Coordinate volunteers for set up, operations and tear down.
    • Oversee Point of Sales service in Square
    • Manage alcohol inventory
    • Troubleshoot any arising issues

 

Data Analysis & Experience Lead

This position is for you if you love a good spreadsheet or dashboard—and if you want to make sure everyone at an event, from attendee or vendor to sponsor or volunteer, is having a good time!

Responsibilities (~1 hour a month, 2-4 hours pre- and post-flagship events):

  • Regularly meet with event planning staff/committee to discuss results of events and surveys
  • Design and implement pre- and post-event surveys
  • Create dashboards and reports analyzing the results of surveys

 

First Aid Lead

If you have first aid training and experience smoothly handling high-stress situations, we’d love to have you on our team.

Ideally, a volunteer in this position has a very uneventful day at our events, passing out sunscreen and ear plugs from the first aid tent—but if something happens (a sprain, a cut, a fall) we’re counting on your experience to help us manage the situation until emergency services arrive.

Responsibilities (~1 hour a month, 5-7 hour days at flagship events):

  • Meet with event planning staff/committee to discuss plans for upcoming events and recap/discuss recommendations based on past events
  • Manage stock of first aid supplies before and after events, identifying items that need to be restocked before the next event
  • Manage first aid tent and lead any first aid volunteers

 

Information & Welcome Lead

This Lead ensures that attendees have the info they need to have a great time at KDP events.

Responsibilities (~1 hour a month, 6-8 hour days at flagship events):

  • Meet with event planning staff/committee to discuss plans for upcoming events and recap/discuss recommendations based on past events
  • Give input on designs of handouts, maps, and wayfinding signage
  • Manage info booth at events, supervising setup and teardown
  • Train and supervise info booth, ambassador/mobile info, and entrance greeter volunteers
  • Oversee merch/swag sales
    • Oversee Point of Sales service in Square
    • Train volunteers on Square

 

Site Services/Facilities Lead

Help us leave our parks better than we found them!

Responsibilities (1-2 hours pre events, 5-7 hour days at flagship events):

  • Lead pre-event cleanup on the day before events
  • Direct litter control volunteers during events
  • Manage trash cans and washing stations
  • Conduct post-event cleanup

 

 

Social Media/Marketing Lead

Responsibilities:

  • Assist in creating and scheduling social media content across platforms (Instagram, TikTok, Facebook, etc.)
  • Engage with followers by responding to comments and messages
  • Help develop social media campaigns to increase brand awareness and engagement
  • Analyze social media performance and provide insights for improvement

 

Stage Liaison and Green Room Lead

Meet VIPs and manage the backstage experience. No A/V or staging experience necessary—but it helps!

Responsibilities:

  • Green room setup
  • Greeting and orienting performers
  • Maintaining condition of green room (snacks, drinks, making sure there are enough chairs, etc)

 

Vendor Lead

Love working with and empowering artists and small business owners? This is the position for you!

Responsibilities (~1 hour pre and post events, 3-5 hour days at flagship events):

  • Meet with event planning staff/committee to discuss plans for upcoming events and recap/discuss recommendations based on past events
  • Be a point of contact for vendors in case they are arriving late, have questions about rules, etc.
  • Train and manage vendor helpers (who direct vendors to their booth spaces and help them set up)
  • Keep track of arrived vendors and call/text vendors who are late
  • Resolve vendor issues
  • Check in with all vendors once during the event to see if they have feedback
  • (Optional) Help jury vendor applications

 

Volunteer Lead

Responsibilities (1-4 hours pre events, 8 hour days at flagship events):

  • Meet with event planning staff/committee to discuss plans for upcoming events and recap/discuss recommendations based on past events
  • Check in all volunteers
    • Pass out volunteer materials
    • Orient volunteers
    • Direct them to their volunteering location
