Events & Admin Coordinator

GENERAL:
The Kent Downtown Partnership (KDP) is a 501C 3 nonprofit organization based on the guiding principles of the Washington State and National Main Street programs.   The KDP mission is to strengthen commerce and promote growth in historic downtown Kent through programs and events that celebrate our unique and diverse community and culture.

We are currently seeking a part time Events & Admin Coordinator with a passion for people, event planning, outreach and organization.
 

JOB SUMMARY:

With oversight from the Executive Director, the Events & Admin Coordinator is responsible for assisting with all aspects of events from concept to the day of execution and administrative support.

The coordinator will also work with our Board of Directors, committees and stakeholders providing updates and raising awareness about programs, events and services.

ESSENTIAL DUTIES:
The coordinator is responsible for coordinating public events and activities in historic downtown Kent.  This position will work on implementation of events, producing and distributing promotional materials, communication with vendors, participants and our core of small downtown businesses; they will perform a variety of tasks including, but not limited to:

  • Coordinate, organize and attend KDP annual, seasonal and special events and programs.
  • Preparation and submittal of permit applications to City, State, WSLCB and other agencies as needed.
  • Organize and meet with stakeholders to inform on event progress, logistics and details.
  • Works closely with Executive Director to ensure events meets timelines and established budgets.
  • Plan and oversee event logistics, including securing venues, catering, artist/vendor outreach; preparing event related materials and publications, arranging logistics for event vendors and performers.
  • Coordinating volunteers
  • Attend the events, including occasional weekend and evening events.
  • Updating website and posting on social sites
  • Troubleshooting in real time
  • Maintain records of event details and help plan future activities.
  • Prepare event recap reports.

ADMINISTRATIVE FUNCTIONS

    • Supports Executive Director with administrative functions including correspondence, email, scheduling/calendars, mailings, filings, note taking, reception and various errands.
    • Occasionally attends Board and committee meetings as directed; may include research, taking minutes, preparing reports.
    • Maintains press/media and organization contacts, distribution lists and rosters.
    • Website updates
    • Experienced with social media platforms, content, promotion campaigns
    • Maintains good internal and external relations and conveys a professional image.
    • Special assignments and projects as assigned.

QUALIFICATIONS:

  • 3+ yrs demonstrated event and administrative coordination experience.
  • Exceptional organizational, interpersonal, written and verbal communication skills.
  • Outstanding administrative and customer support skills.
  • Ability to multi-task and prioritize assignments.
  • Strong knowledge of social media including Facebook, Instagram and emerging social media platforms.
  • Organized, self-starter, capable of working independently and in a group setting.
  • Software experience using Microsoft Office, Canva, WordPress and Google Analytics.
  • Ability to occasional work nights/weekends.
  • Ability to lift 40lbs.
  • Trustworthy and honest

PREFERRED:

  • Two-year degree from an accredited institution.
  • Non-profit experience
  • Valid WA State driver license and own vehicle.
  • Is familiar with the Kent community.

This is a Part time position (20-30 hours per week) with potential to work into full time.
